Public Minutes of 85 th Steering Board Meeting

1. Regular items

o Open requirements, pending actions, open bug reports and physics and CPU performance are reviewed.

o Concerns on unattended Bugzilla reports are re-emphasized. See agenda item #6 on policies and enforcement procedures on unattended bug reports.

2. Spokesperson election

o The Steering Board confirmed and endorsed the election process and the result is finalized.

o Makoto Asai will serve as the Spokesperson and Marc Verderi with serve as the Deputy Spokesperson for a new two years term.

o The Steering Board appreciates the Election Management Team (Sebastien Incerti, Gunter Folger and Peter Gumplinger) for their care in conducting the election and Dr. Phillipe Barberet of CENBG for tally taking.

3. 10.1-beta release

o Release schedule is reminded:

o June 6th for submission

o June 13th for integration

o It is recommended to avoid last minute tags, and to favor as mush as possible granular tags.

o Enough fixes can be collected for putting in place a new patch release (10.0.p02); this could be made prior to 10.1-beta.

4. 2014 Collaboration meeting

o The Collaboration meeting will take place in Okinawa, 29 September to 3 October 2014

o The web page should be available by June 1st, and registration will start at that time.

o Visa process for foreign nationals may take time. If one needs a visa for the entry to Japan, (s)he should consult to Takashi Sasaki ASAP.

o Program committee will be formed soon to make the draft session structure before summer break.

5. General paper

o Status update was not reported at the meeting, but will be circulated soon.

6. Policies on open/unattended bug reports

o The Steering Board re-emphasizes the concern of several bug reports that are kept unattended or not resolved for quite long time.

o The following policies and enforcement procedures on unattended bug reports are agreed.

o The System Testing shifter of the week checks bug reports every Monday.

o If the shifter identifies a bug unattended in “new” state for more than two weeks, the shifter writes an email to the assignee of the bug and related working group coordinator with carbon copies to Makoto and Marc.

o If a bug is kept in “new” or “assigned” state for more than six months, Makoto and Marc invites the assignee and/or the responsible working group coordinator to report the status and possible solution to be reported to the Steering Board by written report.

7. AOB

7.1 Input from recent events

o LPCC LHC detector simulations: status, needs and prospects @ CERN 18-19 March, 2014

o On EM physics side, two major problems were identified but understood as issues in users’ side. Improvements in shower shape are still expected.

o On hadronic physics side, though improvements were seen in lateral shower shape, confirmation by calorimeter beam-tests is required.

o On multithreading, it is reported that all LHC experiments are now working/planning to move to multithreading.

o Technical Forum, 20 March, 2014 @ CERN

o A requirement on intensity frontier physics reported by FermiLab is acknowledged.

o Concurrency Annual Workshop @ CERN 1-2 April, 2014

o A status of the multithreading of version 10.0 was presented, and had a good reception.

o HEP Software Collaboration meeting @ CERN 3-4, April, 2014

o The meeting gathered about 150 attenders.

o It has been proposed to collect “white papers” by end of May.

o Geant4 course for grad-student @ Lund, 7-11, April 2014

o The tutorial has 20 attendees, in addition to presentations, an exam consisting of a written report on a given simulation problem has been setup.

o SATIF @ FermiLab, 28-30 April 2014

o A report is to be made at the next Steering Board meeting

7.2 Near future events

o 10th Geant4 Space Users Workshop @NASA/MSFC Huntsville, AL. USA, 27-29 May, 2014

o Number of registrants is not as many as expected.

o Travel Budget is the main concern

o International Workshop on Monte Carlo Techniques in Medical Physics @ Quebec, Canada, 17-20 June, 2014

o Sebastien Incerti is participating as invited speaker.

o IEEE/NSS/MIC @ Seattle, WA. USA, 8-15 November, 2014

o Deadline for submission has met. No known contributions from the Collaboration.
